Ask Request Book

Reception is not a switchboard.

It just gets used as one.

Extra towels. A dripping tap. A taxi at seven. Today the guest rings down to reception and hopes somebody picks up. A message is easier. They send it in the conversation they already have with your hotel, and it goes straight to the team that can help.

Show us where requests get stuck. Nothing to prepare.
How it works today

Every request goes through the desk.

Today

01Request a towel

Guest friction

The guest has to ring down to reception and hope someone picks up.

Team friction

Reception becomes the switchboard between the guest and housekeeping.

Today

02Resolve a problem

Guest friction

The guest puts off reporting the issue because contacting reception takes effort.

Team friction

The team hears about it at checkout, when it is too late to recover the stay.

Today

03Order dinner to the room

Guest friction

They ring down to order, and wait for someone to pick up.

Team friction

Reception takes the order and walks it to the kitchen.

The pain

Your desk spends its day relaying messages.

A guest wants towels. They ring reception, and wait. At a busy moment nobody picks up, so they try again later, or decide it is not worth the effort.

When someone does answer, reception radios housekeeping, or writes it down, or walks up themselves if it is quiet. Nobody involved is doing the job they were hired for.

Multiply that by a full house on a Saturday, and reception is a message-passing service with a check-in desk attached. Meanwhile the guests standing in front of them are waiting.

The thread is already open

The guest carries on in the conversation they already have.

If we handled their pre-arrival, the guest already has a thread with your hotel. They do not need to start anything. They just message, the way they would message anyone else.

The QR code in the room and at the desk is a nudge rather than a mechanism. Most guests forget they can simply ask, so we remind them where they will see it. For a guest who arrives without a thread, scanning the code opens WhatsApp with the message already typed. One press of send.

The hour after check-in

The best time to ask if everything is alright is before it is not.

An hour after check-in, while they are settling in and before they have gone out, is when a hotel finds out about the room that was not made up properly. It is also when a guest is most receptive to being told something.

Some properties use it to check the room is right. Some mention the cocktail of the week. Hyll sends a curated meditation playlist, because that is the sort of property they are.

It is a small message and it does two jobs: it catches problems while they are still fixable, and it reminds the guest that asking is easy.

What guests ask for

Mostly the same things, every day.

Housekeeping

  • Towels and linen
  • Amenities
  • A room that needs attention

Maintenance

  • The tap
  • The aircon and the television
  • The light that will not turn off

The desk

  • Late checkout, taxis and parking
  • Breakfast times and directions
  • The questions your team answers identically, twenty times a day
The staff side

The front desk stops playing switchboard.

The AI agent sends each request to the team that handles it, at the moment it is needed, on the channel that team already uses: WhatsApp, SMS or Facebook Messenger. They read it on the phone they already own. When it is done, they say so.

What housekeeping sees, on the phone they already own
What stays behind

It chases, so nobody has to.

If a request is not marked complete, the agent reminds the team. If it stays open, it escalates.

And it leaves a record.

What was asked, which room, where it went, how long it took, and what is still open. So "housekeeping is slow at weekends" stops being an impression and becomes a number.

Housekeeping needs no app, login or tablet, just the phone they already carry.

Your SOPs come first

Housekeeping one way. Maintenance another.

Requests follow your routing rules. Route to as many departments as you like: housekeeping, maintenance, the duty manager, food and beverage, the spa. There is no limit on numbers and no per-seat cost for adding another team.

Room service and dining

It works with what you already sell food through.

If you have in-room dining on a POS or an ordering system, we connect to it and orders go where they already go. If you do not, orders route to whichever team handles them, in the same way every other request does.

Either way the guest orders by asking, rather than by finding a menu, finding a QR code, and finding their reading glasses.

Checkout

They settle up and walk out, without queueing for the privilege.

On the morning they leave, the guest sees their live balance, settles it on their phone, and has the invoice emailed wherever they need it.

Check-in and checkout

What it needs from you

The concierge works with no integration at all.

Guests tell us who they are and where they are staying, so requests, routing and the in-stay conversation need nothing connected. That is why this deploys faster than anything else we do, and why it works at properties that have been told for years they are not ready.

Billing is the exception. Settling a live balance means reading it from your PMS, so checkout needs a connection where the rest of it does not.

Bring us one action

Start with the request that takes the most desk time.

01

Thirty minutes

Show us the action that is harder than it should be. We will tell you honestly whether we can improve it.

02

One session

We map what the guest is trying to do, what the team needs, how the brand should sound and where the existing systems help or get in the way.

03

Three weeks

The work is ours: we build the journey, shape the messages, connect it and test it.

04

Fifteen minutes

We walk the relevant team through the small part they will see.

05

Two months

Prove it in the operation before making an annual commitment.
