Biteluxe is a trading name of The Something Group Limited ("Biteluxe", "we"). This policy has two parts, because we hold personal data in two different roles.
Visitors and prospective customers
When you use this website, book a call or email us, we decide what happens to your data. We are its controller.
What we collect
- When you book a call: your name, email address, phone number if you give one, your hotel, and anything you write in the booking form.
- When you take our hotel score quiz: your first name, email address, hotel name, your role if you give it, your answers and your score, and how you found the quiz.
- When you email or message us: your contact details and what you tell us.
- When you browse, only if you accept analytics or advertising cookies: which pages you read, how you reached us (including whether from one of our Google adverts), and your type of device and browser. Google collects this for us.
What we use it for, and on what basis
- To hold the call you booked and send you the results you asked for. The basis is taking steps at your request before any contract.
- To follow up about how we could help your hotel. The basis is our legitimate interest in talking to hotels about our service. You can tell us to stop at any time and we will.
- To count visits and see which of our adverts work. The basis is your consent, which you can withdraw at any time in Cookie settings.
We do not sell your data.
Who else sees it
The providers that run our booking calendar, our customer records and our email, each under a contract that limits them to acting on our instructions. Google, for analytics and advertising measurement, if you accept those cookies. Authorities, where the law requires it.
How long we keep it
For as long as we have a reason to, and we review our records regularly to remove what we no longer need.
Cookies
We set analytics and advertising cookies only if you say yes, and you can change your mind at any time. The embedded booking calendar and demo form set their own. Our cookie page lists every cookie.
Hotel guests
When we run guest journeys for a hotel, the hotel is the controller of its guests' data and we process it on the hotel's instructions, under our Data Processing Agreement. If you are a guest, the hotel's own privacy notice is the main one for you. This part explains what we do on the hotel's behalf.
What we collect
- Guest names, email addresses and phone numbers.
- Booking details: arrival and departure dates, and the contact details the service needs.
- Requests, preferences and what guests tell the hotel in conversation.
- Feedback and survey responses.
We receive it from the hotel's reservation system or its booking confirmations, as the hotel instructs; from guests directly, before booking, before arrival, during the stay and after it; and through feedback forms.
What it is used for, and on what basis
- Messages and services that are part of the stay: performance of the guest's contract with the hotel.
- Improving the guest experience through feedback: the hotel's legitimate interests.
- Marketing and promotional messages: only with the guest's consent.
Who else sees it
Payment providers, for payments during and before the stay; the messaging services that carry email, SMS and WhatsApp; and analytics providers that help us improve the service. Authorities, where the law requires it.
How it is protected and how long it is kept
Data is encrypted in transit and at rest, access is controlled and staff are trained on data protection, and we run regular security audits and vulnerability assessments. Personal data is kept only as long as the purposes above need it, and we review it regularly. Our security page has more.
If something goes wrong
We investigate a data breach immediately, take steps to contain it, and notify the hotel, affected individuals and the authorities within 72 hours where that is required. Afterwards we review and improve our practices.
Your rights and how to reach us
You can ask for access to your personal data, and for it to be corrected, erased or restricted. You can object to processing based on legitimate interests, and ask for your data to be moved to another provider. If you are a hotel guest, the hotel is usually the right first contact, and we will help it respond.
If you are unhappy with how your data has been handled, you can complain to the Information Commissioner's Office at ico.org.uk.
We may update this policy from time to time. We will tell customers about significant changes.
